Reporting Requirements for Small Grant Recipients

All Sustainable Jersey Small Grants recipients are required to submit progress reports. The specific reporting requirements vary based on the amount of the grant award. Reports are submitted using and online report form. Grant recipients will receive a reminder email with instructions for completing the online report form at least 30 days prior to the report due date. Large grant recipient requirements are listed first, followed by the $2,000 capacity building recipient requirements.

Large Grant Awards ($4,000 and Up)

Grantees will be required to complete an interim and final report using an online report form. Reminders will be emailed to the primary project contact in advance of the reporting submission deadline.

Reporting Requirements

Interim Report

The interim status report must answer the question, "Where are you?" by describing project progress, expenditures to date, photos, and modifications to original project plan in grant proposal (if needed). Any changes to the original project plan must be preapproved by Sustainable Jersey for Schools.

Final Report

The mandatory final report must document completion of the project described in the application (or the portion of the project for which the grant was intended).  The final report includes the following information:

Project Summary

  • Brief description of the completed grant project that highlights the grant outcomes and impact.
  • Variations from the original proposal.
  • Grant impact of the project on the school community (what was accomplished, who is benefitting and how, and next steps).

Supporting Documentation

  • Samples of communications distributed to the school community related to the grant project.
  • Photographs that depict the grant project and/or related activities.  Photos should include members of the school community.
  • Grant sponsor acknowledgement for $10,000 grant projects of Sustainable Jersey and the project funder in promotional materials and install a small sign listing them as funders at the project site (if applicable).

Lessons Learned

  • Reflect on lessons learned in completing the project including: challenges faced and how they were overcome; what you would do differently if you undertook the project again; advice you would give to someone about to undertake a similar project.

Project Expenditures

  • Provide a summary of how the grant funds were spent.
  • Provide a report outlining budgeted vs. actual expenses.  A sample template is available HERE.
  • Supporting documentation for each grant expenditure including either invoices, vouchers, receipts, or expenditure ledgers from the school business administrator.

*NOTE: Dispersal of the final 50% of the grant funding is contingent upon receipt and approval of the documentation listed above. 

$2,000 Capacity Building Grant Awards

  • Summarize any modifications to activities or project outcomes outlined in the original grant proposal. 
  • Describe the impact of the effort on the school district or individual school including who benefitted from the grant activities and how, and the potential impact on future endeavors.

Supporting Documentation

  • Provide samples of communications distributed to the school community related to grant activities (i.e. articles, flyers, reports, other educational materials).
  • Provide at least TWO photographs of green team activities related to the grant.  Photos should include members of the school community.

Lessons Learned

  • Reflect on challenges encountered, how they were overcome, and advice for undertaking similar or related efforts in the future.

Project Expenditures

  • Provide an itemized list of expenses paid for by the grant funds
